What a 1099 dashboard shows
One row per contractor with the year-to-date total you paid them, split by how you paid (check, bank transfer, card). A column for whether a W-9 is on file. A flag for people who have crossed the reporting threshold, which the IRS sets and can change, so we look it up each year instead of hard-coding it. A list of payments made by credit card or payment app, because those are normally reported by the processor and not by you.
It also shows what is missing: contractors with no tax ID, payments coded to the wrong account, and vendors who look like contractors but are set up as ordinary suppliers.
Where the numbers come from
The dashboard is only as good as the books under it. Every payment has to be recorded, matched to the right vendor, and put in an expense account that your accounting software treats as reportable. That is a bookkeeping job, not a reporting trick, which is why a clean monthly close comes before any dashboard.
How it is built in your software
In QuickBooks Online, vendors can be marked as 1099 contractors and a 1099 report totals the payments. In Xero, you track contractor payments with reports and, depending on your region and plan, 1099 tools or add-ons. Payroll platforms handle employees, so contractors are usually paid and tracked separately. Features and plan limits change often, so we check what your plan includes before promising a setup.
What we set up and what we do not
We set up the vendor records, the W-9 tracking, the expense accounts and a monthly contractor summary you can read in five minutes. We prepare the numbers your tax professional or filing service needs.
We do not decide whether a worker is a contractor or an employee. That is a legal and tax question with specific tests, and the answer belongs with a CPA, an enrolled agent or an attorney.
A simple monthly routine
Collect a W-9 before the first payment. Record payments as they happen. Review the dashboard monthly for missing tax IDs and miscoded payments. In December, compare the totals with your own records so that the January filing is a confirmation. Keep W-9s and payment records for the period your tax professional advises.
Common questions
Do I need a 1099 dashboard if I only pay a few contractors?
A short list in your accounting software is enough, as long as every payment is recorded and every W-9 is collected. A dashboard matters more as the list grows.
Can the dashboard file my 1099s?
Some software or services can e-file them. We prepare the data and check it. Confirm the filing method and deadlines with your tax professional.
